KarmaCaptain ("KarmaCaptain", "we", "us", or "our") respects your privacy. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. If anything here is unclear, email us at privacy@karmacaptain.com and we'll explain in plain language.

1. Information we collect

Information you give us directly

  • Lead form submissions: name, email, phone, company name, business stage, revenue range, and any details you choose to share when you request an audit or strategy call.
  • Engagement information (clients only): business details, target customers, brand assets, internal feedback on placements, and approvals — anything we need to do the work.
  • Billing information (clients only): name, billing address, and payment details. Payment details are processed by our payment processor and are not stored on our servers.
  • Communications: emails, calls, and messages you send us.

Information collected automatically

  • IP address, device type, browser, and operating system;
  • Pages visited on our website, referring URL, and time spent;
  • Standard cookies and analytics events (see Section 5).

2. How we use your information

We use the information above only for the following purposes:

  • Responding to inquiries and scheduling consultations;
  • Delivering services to existing clients;
  • Sending invoices and processing payments;
  • Sending administrative emails about your engagement (these aren't marketing — you can't opt out while you're an active client);
  • Sending occasional marketing emails if you opt in (you can unsubscribe any time);
  • Improving our website, services, and case studies;
  • Detecting fraud, abuse, or violations of our Terms;
  • Complying with legal obligations.

We do not sell your personal information. We do not rent it. We do not share it with data brokers.

3. Who we share information with

We only share your information with:

  • Service providers we rely on to run the business: our email provider, payment processor, hosting provider, calendar/scheduling tool, CRM, and analytics platforms. Each is bound by confidentiality and data-protection obligations consistent with their role.
  • Reddit and similar third-party platforms, only to the extent necessary to operate accounts and place content on your behalf during an engagement.
  • Legal authorities, if required by law, court order, or to protect our rights, your safety, or the safety of others.
  • An acquirer, in the unlikely event KarmaCaptain is acquired or merged. Your information would transfer subject to this Privacy Policy.

4. How long we keep your information

  • Lead inquiries that don't become clients: retained up to 24 months, then deleted or anonymized.
  • Client records: retained for the duration of the engagement plus 7 years for tax, legal, and accounting compliance.
  • Marketing list: retained until you unsubscribe.
  • Website analytics: typically retained for 14 months in aggregate form.

5. Cookies and analytics

We use a small number of cookies and analytics tools to understand how the website is used and to improve it. We do not use third-party advertising networks to retarget you across the web.

You can disable cookies in your browser settings. The website will continue to function but some preferences may not persist across visits.

6. Your rights

Regardless of where you live, you can email privacy@karmacaptain.com at any time to:

  • Ask what personal information we hold about you;
  • Correct inaccurate information;
  • Request deletion of your information (subject to legal retention requirements);
  • Unsubscribe from marketing emails;
  • Ask us to export your information in a portable format.

If you are in the EU, UK, or California, you may have additional rights under GDPR, UK GDPR, or the CCPA/CPRA. We honor those rights for everyone, not just residents of those jurisdictions, because it's the right thing to do.

7. Security

We use reasonable administrative, technical, and organizational measures to protect your information — including encrypted connections (HTTPS), access controls, and limiting who on our team can access client data. No system is 100% secure, but we take this seriously and will notify affected clients promptly if a breach occurs that materially affects their data.

8. International transfers

We are based in the United States. If you contact us from outside the US, your information will be transferred to and processed in the US. By using our services, you consent to that transfer.

9. Children

Our service is for businesses. We do not knowingly collect information from children under 16. If you believe a child has submitted information to us, contact us and we'll delete it.

10. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we'll update the "Last updated" date above and, where reasonable, notify active clients by email. Your continued use of our website or services after changes take effect means you accept the updated Privacy Policy.
